Studio Policies


Palaeli Studio, LLC is fully committed to safeguarding and promoting the well-being of all the clients we photograph. We believe it is most important for everyone associated with our Studio to show respect and understanding for the safety and welfare of others at all times. Clients are encouraged to be open and share any concerns or complaints they may have about any aspect of our Studio.


Life sometimes doesn’t flow exactly as we intend, which is why we have established these operating policies.


The client is hereby specifically put on notice and is hereby notified and agrees that photography is not an exact science and that on certain occasions or in certain circumstances photographic materials may be proven defective. Client hereby agrees that in the case of any defect in materials, equipment, computers, electronic devices, chemicals, or procedures, the client specifically waives any claims for negligence, breach of warranty, mental harm, distress, or breach of contract.


Booking policy

In order to reserve a date for a wedding, event, portrait or any of our services, we require a deposit and a signed contract (Not in all the case). Due to the nature of our business we do not hold dates without a deposit and signed contract since that leaves us open for easy cancellations and no-shows. Upon special request we will provide a good-faith grace period for any dates that have not been requested for a period of no more than 7 days during which time we will notify you that someone else has requested your date and provide you with a chance to confirm that booking before making it available to the third-party. If after 7 days we have not received a deposit and no effort to communicate with us has been made we will release the date to any third-party requesting it. We do not currently book wedding dates that are further than 12 months away.

 

Product payment and refund policy

All payments for products including albums, wall art, photographic prints, etc. must be paid in full before we will send it in for production. All designed items must be approved by you prior to production, no refunds will be provided for products that have been approved and sent to production.

Before taking delivery of your products they are are shipped to us for quality assurance. They are checked thoroughly for any manufacturing defects, shipping damages or production errors. If any are found we will return your product and request a new one before you see the actual product. If there will be a delay in delivery due to one of these factors we will notify you immediately.

 

After you have taken delivery of the products you have 24 hours to review it for any defects or errors that are deviations from the items you approved. If any are found please contact us and we will setup a consultation to review the item with you.

 

Collection of pa sales tax

By state law we are required to charge 6% sales tax on all our packages. The total tax paid will be itemized in your invoice.

 

Wedding, event and portrait session refund policy


Weddings

If you need to cancel your wedding we will gladly refund any money paid to us ( beyond the initial deposit) in full unless the wedding date is less than 6 months away. Most weddings are planned 1 - 2 years in advance so the likelihood of us booking another wedding for that same day is very small to none which adversely affects our ability to do business. If your wedding is less than 6 months away there is a 50% cancellation fee which is deducted from any funds paid to us beyond the initial deposit. If your wedding is less than 3 months away there is a 75% cancellation fee which is deducted from any funds paid to us beyond the initial deposit. However we will provide you with a photography services credit for a period of 90 days from the cancellation date. All refunds are issued within 30 days of the cancellation notice and are issued to the original payer in the original form it was made unless other arrangements are made.

 

At least 50% of your wedding collection cost must be paid 6 months prior to your wedding. This is required to protect us from losses in the event of a cancellation.

 

Events

If you need to cancel your event (sweet sixteen, birthday, corporate or other engagement) we will gladly refund any money paid to us ( beyond the initial deposit of 30% ) in full unless the event is less than 2 months away. Most events of this nature are planned 30-60 days in advance and sometimes further away making it difficult for us to rebook another event for that date. If your event is less than 2 months away there is a 50% cancellation fee which is deducted from any funds paid to us beyond the initial deposit.  If your event is less than 1 month away there is a 75% cancellation fee which is deducted from any funds paid to us beyond the initial deposit. However we will provide you with a photography services credit for a period of 90 days from the cancellation date. All refunds are issued within 30 days of the cancellation notice and are issued to the original payer in the original form it was made unless other arrangements are made.

 

Maternity, Family and Portrait

If you need to cancel a session we will gladly refund any money paid to us ( beyond the initial deposit of 30% ) in full unless the session is less than 30 days away. Most portrait sessions are planned 15-30 days in advance making it difficult for us to reschedule or book a new session for that date. However we will provide you with a photography services credit for a period of 90 days from the cancellation date. All refunds are issued within 30 days of the cancellation notice and are issued to the original payer in the original form it was made unless other arrangements are made. In the case of portrait session every attempt is made to reschedule the session before a refund is approved.

 

What if it rains for my outdoor session?

In the case of inclement weather we will attempt to reschedule the session with you as many times as necessary.

 

Album and artwork review process

When an album or artwork is ready for review it is sent to your primary email or method of contact for you to review, approve or submit changes. This step is critical to the completion of your products in a timely manner. If after three attempts we are unsuccessful in getting your initial response we reserve the right to archive the project. Archiving the project includes closing and removing it from our production list and deleting any pending designed items with our vendors. If you would like to restart the project it will be treated as a new project and placed back on our production list however you will incur the cost of the product and design fees as if the project was new and those costs will be collected prior to any work being started.

Palaeli Studio LLC owns all copyrights to all printed photographs and captured images. The purchase of photographs includes the rights of reproduction or publication unless otherwise specified in the contract or agreement.


Reproduction of any photograph without the written consent of Palaeli Studio, LLC is a violation of federal law.


Terms

We reserve the right to update or modify these Policies and Procedures at any time and without prior notice. Your use of our services following any such change constitutes your agreement to follow and be bound by the Policies and Procedures as changed. For this reason, we encourage you to review our Policies and Procedures whenever you seek our services or use our website.
